Job Description
Status: Part-Time (Up to 29 hours/week)
Responsibilities Overview

Facilitate a warm and welcoming environment for visitors, guests, and callers. Be hospitable, inviting, and approachable. Bring and create a culture of prayer at every opportunity with visitors and staff. Be eager to serve staff, congregation, the body of Christ, and community members by completing a variety of needed tasks. Maintain confidentiality and discretion at all times.

Key Skills

  • Proficient in Microsoft 365 – Google Docs, Word Processing and Spreadsheet Management

  • General knowledge of multi-line phone systems

  • Data entry skills

  • Talent management experience with supervisory/volunteer oversight 

  • Problem-solver; Calm and thorough communicator maintaining confidentiality

  • Organized and flexible with ability to shift priorities and projects

  • Create a warm and inviting environment that facilitates a culture of prayer in the “front” office

  • Have a heart for hospitality that serves staff, congregation, and community

  • Have a strong sense of confidentiality and discretion

  • Maintain a vital and growing walk with the Lord through committed personal Bible study, prayer and stewardship of the resources given to them by God.

  • Maintain proper priorities and balances in his/her life.

  • Commit to personal evangelism opportunities within and outside of the church.

  • First welcoming face/voice of Inspire Church

  • Identifying crisis/triage

  • Organize office information for others to find with ease

 

Personal Assistant to the Lead Pastor

  • Manage Lead Pastor’s calendar and appointments

  • Assist with pastoral projects (Bible plans, journals, class packets, errands)

  • Meeting prep & meeting minutes

  • Act as first point of contact before items reach the Lead Pastor

 

Customer Service

  • Provide welcoming reception and route calls/visitors

  • Direct care needs to appropriate staff

  • Prepare building use agreements and manage key distribution​

 

Communication

  • Warmly receive and route calls and visitors

  • Prepare and complete mass communications, mailings, and electronic messages

  • Communications Hub – Respond to messages received through Facebook

  • Social Media Management – Facebook, Instagram, TikTok

  • Website Management – WIX

  • Panterra Streams Account Management – phone porting, auto attendant, greeting management​

 

Clerical

  • Maintain church database and filing systems

  • Track attendance and manage paper files

  • Order and stock office and kitchen supplies

  • Handle mail distribution, copy machine operation, and print/cut jobs

 

Collaboration and Synchronization

  • Act as a central point of knowledge for office processes and files

  • Provide assistance to staff and lay leaders 

  • Recruit, train, task, and supervise office volunteers​

 

Financial

  • Divvy Spend and Expense Oversight

  • Monitor month-end transaction gaps and track office budget codes

  • ​QuickBooks
