Office Coordinator
Job Description
Status: Part-Time (Up to 29 hours/week)
Responsibilities Overview
Facilitate a warm and welcoming environment for visitors, guests, and callers. Be hospitable, inviting, and approachable. Bring and create a culture of prayer at every opportunity with visitors and staff. Be eager to serve staff, congregation, the body of Christ, and community members by completing a variety of needed tasks. Maintain confidentiality and discretion at all times.
Key Skills

Proficient in Microsoft 365 – Google Docs, Word Processing and Spreadsheet Management

General knowledge of multi-line phone systems

Data entry skills

Talent management experience with supervisory/volunteer oversight

Personal Assistant to the Lead Pastor

Record pastor appointments on calendar

Support miscellaneous pastoral projects (e.g., Bible reading plans, journals, class packets, errands)

Track and assist in pastoral meeting duration and flow
-
Gather, copy, and distribute information for the Local Board of Administration (LBA) meetings
-
Serve as “Front Line” before lead pastor sees things
Customer Service
-
Provide welcoming reception and customer service while protecting staff time
-
Guide those with care needs to appropriate pastor or staff member
-
Prepare building use agreements
-
Issue and receive keys for short-term facility users

Communication
-
Warmly receive and route calls and visitors
-
Prepare and complete mass communications, mailings, and electronic messages
-
Communications Hub – Respond to messages received through Facebook
-
Social Media Management – Facebook, Instagram, TikTok

Website Management – WIX

Text/email blasts

Bulletin
-
Panterra Streams Account Management – phone porting, auto attendant, greeting management

Executive Team Member - responsible in taking meeting minutes

Clerical

Maintain timely and accurate church database

Sustain an orderly office and filing system

Prepare and distribute prayer request sheets to prayer team and LBA
-
Publish the weekly bulletin
-
Order and stock office supplies
-
Track and record attendance numbers
-
Paper file management (financial and general documents)
Collaboration and Synchronization

Act as a central point of knowledge for office processes and files
-
Provide assistance to staff and lay leaders
-
Recruit, train, task, and supervise office volunteers

Coordinate stuffing of envelopes and worship center seat info sheets

Financial

Divvy Card Account Oversight

Load receipts and code for Inspire Church and Lead Pastor

Monitor month-end transaction gaps

Check and distribute mail daily

Track office budget codes

Print and cut jobs (including special requests and outside ministries)
